Flo Pilates Studio Policies

1. Definitions
1.1 "Studio" refers to Flo Pilates and its subsidiaries.
1.2 "Client" means any individual who purchases, books, or attends any class, workshop, or private session offered by the Studio.
1.3 "Membership" denotes any auto-renewing subscription or class package.
2. Class Cancellations & No-Shows
2.1 Late Cancellation. A Client who cancels a scheduled class fewer than six (6) hours prior to the class start time shall forfeit the class or corresponding credit.
2.2 No-Show. A Client who fails to attend a scheduled class without timely cancellation shall be deemed a no-show and shall forfeit the class credit and incur an additional administrative fee of twenty-five Canadian dollars (CAD $25.00).
These measures ensure equitable access for all Members and allow the Studio to offer a fair scheduling system that benefits all members.
3. Credit Card Policy
3.1 Payment Authorization. The Studio requires a valid credit or debit card on file for all Clients. By registering, Clients authorize the Studio to charge the on-file card for:
Late cancellations (Section 2.1)
No-show penalties (Section 2.2)
Administrative fees and other charges as set forth in these Policies.
4. Tardiness
4.1 Late Arrival Exclusion. Clients arriving more than ten (10) minutes after class commencement shall not be permitted to join the session.
4.2 Rescheduling. Late Clients who are excluded under Section 4.1 must rebook an available class and shall forfeit the original class credit.
5. Private Session Cancellations
5.1 Notice Requirement. Cancellation of private one‑on‑one sessions must occur at least twenty‑four (24) hours prior to the scheduled appointment or the Client shall forfeit the session credit. Late arrival or failure to attend shall likewise constitute a late cancellation.
6. Workshops
6.1 Payment & Refunds. All workshops require full payment upon enrolment and are non‑refundable.
6.2 Studio Cancellation. The Studio reserves the right to cancel any workshop up to seven (7) days before the start date. In the event of such cancellation, Participants shall receive a full refund.
7. Studio-Initiated Class Cancellation
The Studio may cancel any class up to two (2) hours before the scheduled start time due to insufficient enrolment. Clients shall be notified promptly, and any used class credit shall be reinstated.
8. Expiration of Class Packs
All class packages expire in their allotted time, beginning on the date of the first booked class. The date of first attendance shall serve as the commencement date for expiry calculations.
9. Membership Cancellation & Freeze Policy
9.1 Cancellation. Memberships automatically renew on a monthly basis. Unlimited memberships renew after the contract term is complete. Clients wishing to cancel must submit written notice to info@flopilates.ca no less than seven (7) days before the next billing date.
9.2 Class Booking & Cancellation. For any class booked under a Membership, a minimum of six (6) hours’ notice is required to cancel without penalty.
9.3 No-Show Penalty. No-shows under a Membership shall result in forfeiture of one class credit and a twenty-five Canadian dollars (CAD $25.00) fee.
9.4 Freeze. Members may request up to two (2) freezes per calendar year, each not exceeding forty-five (45) days. Freeze requests must be submitted at least seven (7) days before the next billing cycle and must specify both start and end dates. Absent an end date, the freeze shall default to four (4) weeks, after which the Membership shall automatically terminate. Freezes cannot be split or combined and require completion of the Member’s initial two‑month commitment (if required). Exceeding the freeze allowance shall result in termination and forfeiture of any grandfathered rates.
10. Billing Cycle
10.1 Use-It-Or-Lose-It. Monthly class credits under Membership do not carry over to subsequent billing periods.
10.2 Renewal Date. Billing cycles recur on the date of initial purchase..
10.3 Annual Commitments. Members who enter a one‑year term are financially responsible for the full commitment. Cancellations after the term’s expiration require written notice to info@flopilates.ca
11. Early Termination & Tier Adjustments
11.1 Early Termination Fee. Early termination of any Membership shall require payment of all remaining commitment fees as per the signed contractual agreement
11.2 Tier Changes. Members may upgrade or downgrade tiers at any time, but must maintain the new tier for no fewer than two (2) full billing cycles. Grandfathered pricing shall be forfeited upon any tier change.
12. Code of Conduct & Anti-Discrimination
12.1 Zero-Tolerance Policy. The Studio maintains a strict prohibition against discrimination or harassment on any protected ground as defined by the Ontario Human Rights Code, including but not limited to race, ancestry, place of origin, colour, citizenship, creed, sex, sexual orientation, gender identity or expression, age, marital status, family status, disability, or record of offences.
12.2 Enforcement. Complaints shall be investigated promptly. Violations may result in service termination, membership revocation, and legal action. Retaliation against any individual reporting or participating in an investigation is strictly forbidden.
13. Pregnancy Policy
13.1 Medical Clearance. Clients who are pregnant must provide written clearance from their healthcare provider before engaging in any classes or sessions. The Studio reserves the right to refuse participation if safety concerns exist.
14. Additional In-Studio Policies
Clients must sign the digital waiver before participation.
Participants must be eighteen (18) years or older, or accompanied by a guardian.
Clients shall notify the instructor before class if leaving early.
Street shoes are prohibited; please leave footwear on the entry mat.
All bookings require full payment at the time of reservation.
No refunds shall be issued for purchased passes.
The Studio adheres to all applicable government health and safety mandates.
These Policies constitute the entire agreement between Clients and the Studio regarding studio services and supersede all prior communications.
